How do I reconcile the ACH amount deposited into my account?

  1. Set the Settlement Date and Product Type to match the funding tied to the ACH deposit
  2. Use the Passport Managed Product filter to refine results (YES - includes transactions originating from a Passport Point Solution ; NO - includes transactions from a third-party solution (Pay stations, POS devices, non-Passport Text-to-Pay)
  3. Validate that all filters are set correctly
  4. Click Run Report and review the results
  5. Note: For transaction-level reconciliation, use the Settlement Detail Report instead

How can I view data separately for my Card Present Products?

  1. Set the Settlement Date filter to the desired range
  2. Set the Passport Managed Product filter to NO (for transactions originating from third-party solutions such as Pay stations, POS devices, or non-Passport Text-to-Pay)
  3. Ensure all filters are correctly applied
  4. Set the Entry Mode to "Card Present"
  5. Click Run Report and review the results

How can I see all my products in a single Settlement Summary report?

  1. Set the Settlement Date filter to the desired range
  2. Select all valid Product Types by checking the corresponding boxes
  3. Ensure all other filters are set to “Is Any Value” to avoid incomplete data (failure to do so may result in inaccurate results)
  4. Click Run Report and review the results

Why don't my Settlement Summary totals match my ACH report? 

  1. Ensure the Settlement Date matches the ACH deposit date; If incorrect, update it and click Run Report or Refresh
  2. If the date is correct, check other filters—default settings should be “Is Any Value”
  3. Verify that multiple Product Types or incorrect Operators have not been selected
  4. Click Run Report or Refresh again to update results

My totals still don't match. What should I do?

  1. Open the Payments Settlement Detail Report
  2. Set the Settlement Date to the correct range
  3. Select all valid Product Types by checking the appropriate boxes
  4. Ensure all other filters are set to “Is Any Value” (failure to do so may cause discrepancies)
  5. Click Run Report or Refresh to update results
  6. If discrepancies persist, contact support (billing@passportinc.com for invoicing and fees only ; submit a ticket through the support portal for all other questions)

What t do T, T+1, and T+2 mean in the settlement process?

In the Passport settlement process, it’s important to understand how dates are referenced in reporting and funding timelines. These timelines are based on a 5-business-day week:

  • T (Transaction Day): The day the transaction occurs on the device or in the app
  • T+1 (Processing Day): The next business day after the transaction ; On this day, the transaction details are batched and sent to our processing partner, and a money movement file is created
  • T+2 (Funding Day): Typically, two business days after the transaction ; this is when ACH transfers are initiated and funds begin arriving at merchant bank accounts.
    • Note: Actual receipt of funds may vary depending on the receiving bank’s processing times.

Understanding this timeline helps set accurate expectations around reporting visibility and fund availability.

Report Vocabulary

  • Account Key: A unique identifier assigned to an operator when an account configuration is created
  • Account Name: A custom name created by the payment system that helps quickly identify which product and operator the transaction is linked to
  • Adjustment: Any modifications to a batch, such as credits or refunds, applied during settlement to be paid to the merchant
    • Balance Adjustment: Made by payment operations
    • Transfer Adjustment: Made due to wallet and/or validations
    • Fee Adjustment: Made due to free parking
  • Adjustment Amount: Total value of changes applied to a batch due to adjustments
  • Adjustment Count: Total number of adjustments made within a specific batch or time period, including wallet transactions, validations, or free parking
  • Batch Date: The date on which a group of transactions is sent for Funding
  • Batch ID: A unique identifier assigned to a group of payment transactions processed together for tracking, reconciliation, and reporting purposes
  • Chargeback Amount: Total value of transactions reversed by the payment processor due to disputes or fraud claims (this amount is returned to the customer, and the merchant is responsible for covering it, often along with additional fees)
  • Chargeback Count: Total number of chargebacks or disputes processed within a specific batch or time period
  • Convenience Revenue: Income from fees charged to customers for using alternative payment methods or channels that provide added convenience, such as online or mobile transactions
  • Estimated Funding Date: The projected date Passport sends the batch to its processor for funding (this does not indicate when the funds will reach the merchant’s bank account, as the processor generally requires an additional day to complete the funding process)
  • Funded Date: The date Passport receives confirmation from the processor that the batch has been sent to the bank for funding
  • Gateway Count: Total number of individual authorizations and extensions processed within a specific batch or time period
  • Gross Processing Revenue: Total revenue from all payment transactions processed before any deductions, including transaction fees, service charges, and convenience fees
  • Invoice Fees: Sum total of all fees deducted from Gross Processing Revenue of all payment transactions processed by the payment platform that are tied to a Gross Remittance, including transaction fees, service charges, merchant processing fees, gateway fees, and convenience fees
  • Net Fees: Total amount of all fees deducted from Gross Processing Revenue according to a Daily Net Fee schedule including transaction fees, service charges, merchant processing fees, gateway fees, and convenience fees
  • Net Service Revenue: Total of all service fees collected from individual transactions within a specific time frame or batch
  • Net Settlement Amount: Final amount transferred to a merchant after deducting applicable fees, chargebacks, and adjustments from the gross transaction value
  • Operator: Name assigned to a contracted Passport customer that identifies which city or partnership they own
  • Product Type: The Product associated to the transaction

    • Funding Rejected: The processor has rejected the batch due to incorrect funding details and has declined to process it
